Many users think that storage space is unlimited with SaaS solutions. Thatās not the case - though Microsoft is now much more generous with Business Central than it was a few years ago. How much storage space is actually included with the cloud solution? āļø
The Included Cloud Storage Capacity in Business Central
The storage capacity for Dynamics 365 Business Central is based on a modular approach. The available storage consists of two components:
- a fixed standard capacity per tenant
- as well as extra storage capacity (for each license of a specific type)
While the standard capacity for Business Central is always 80GB per tenant, the extra storage capacity is variable and depends on the license type:

In summary, this means you always receive a standard storage capacity of 80GB. Additionally, each Premium user gets 5GB, each Essentials user gets 3GB, and each Device license gets 1.5GB of storage capacity. There is no additional storage for Team Members licenses.
Especially for companies with many users, the available storage quickly adds up to a very comfortable total storage capacity.
More Storage Space Since Late 2025
Microsoft has increased the extra storage capacity for Business Central as of late 2025, thereby significantly improving the storage policy. In the previous model, the bonuses were 3, 2, and 1GB. Meanwhile, the standard capacity has remained unchanged at 80GB.
The Cumulative Principle: Calculation Example
Important to know: The storage capacity for Business Central is a shared pool for the entire tenant. Storage space is therefore not permanently assigned to individual users.
For example, if you have ten Premium users, your total storage capacity is calculated as follows.

In this example, your company would have a total of 130GB of cloud storage available.
Since different license types are often used simultaneously in practice, each company ends up with a customized storage pool.
What Types of Data actually contribute to Storage Usage?
Many companies initially underestimate the actual volume of data generated in Business Central. Storage usage includes, among other things:
- Transaction data
- Master data
- Attachments and documents
- Historic documents
- Change log entries
- Extensions and customizations
PDF attachments, email imports, and integrated documents, in particular, can cause the database size to grow rapidly. Thatās why itās worth keeping a close eye on your storage usage trends.
What happens if you run out of Storage Space?
If the included cloud storage capacity is insufficient, you can purchase additional storage.
In many cases, however, it is advisable to first conduct an analysis of the actual āstorage hogsā. Often, storage space can be saved simply through archiving strategies, cleanups, or optimized document storage. Some companies regularly perform a spring cleaning of their ERP system.
Storage Space for Cloud Solutions remains a Limited Resource
Microsoft is now significantly more generous with storage limits for Dynamics 365 Business Central than it was a few years ago. In particular, the increase in extra storage per license since late 2025 makes day-to-day work much less stressful.
Nevertheless, cloud storage remains a limited resource even in SaaS environments. It is therefore important that you address early on how your storage capacity is structured and which factors influence its usage.
