Before posting a journal or document, you can use the preview posting to check whether there are any errors that would prevent posting. However, the test report does not show a preview of the entries that would be created during posting. Since version 2016, Dynamics NAV has offered just such a preview posting that displays the entries before posting.
Preview Posting in Journals and Documents
In the ERP software, the preview posting is available to users in the following journals and documents:

In addition to the journals and documents mentioned above, the preview posting is also available within the functions
- Apply Entries and
- Unapply Entries.
The preview posting can be called up in the ribbon in the “Actions” group:
Preview Posting
If the preview posting is called up, it shows all entries that would result from a posting.
The preview posting not only looks like the familiar Navigate function, it also works in exactly the same way: with the help of the drill-down functionality, the user can display the entries of the general ledger (G/L) in financial accounting as well as the entries of the subledgers for customers, vendors, etc.
Difference to the Test Report
The test report mentioned at the beginning has existed in Dynamics NAV since time immemorial and was often called up by users before a posting. It can be used to see the movement in the journal or the balance of the bank or cash account after the posting. It can also be used to check whether the lines can be posted or whether there are errors that would prevent the posting (e.g. if a balance is incorrect).
However, the entries resulting from the posting of the lines cannot be seen from the test report. However, this is now possible using the preview posting, which has been available since Dynamics NAV 2016.
Advantages of the Preview Posting
- The preview posting can also display columns that cannot be selected in the document itself.
- Adjustments to posting facilities (e.g. in the posting matrix) can be tested in advance.
- Errors can be detected and corrected before the posting is made. This saves corrections.
- The entries in the preview posting are displayed in client currency (usually EUR), even if a foreign currency is specified in the original document. The values in the document itself, in the statistics or in the test report are displayed in the foreign currency.
- The preview posting displays the same error messages that would also occur during the actual posting.
Examples of Use
Testing a Setup
If changes have been made to the posting matrix, the preview posting can first be used to check whether the setup is correct.
Error in Item Card
If, for example, an item is sold whose item card contains incorrect posting parameters (product posting group, VAT product posting group or inventory posting group), an incorrect G/L account would be posted to. This error cannot be detected using the familiar test report in the sales invoice. However, the G/L entries in the preview posting can be used to check which G/L account is being posted to.
Automatic Postings in the Background
In the case of intra-community acquisition, VAT must be paid in Germany. This can be deducted again at the same time as acquisition input tax. Even if VAT and input tax deduction cancel each other out, they must be posted. They are posted automatically in the background and could not previously be checked before posting.
In the purchase invoice (1st figure below) and the purchase statistics, the VAT is EUR 0.00. The preview posting can now be used to check whether the VAT entries have been created and whether the VAT and input tax G/L entries have been created correctly (figure 2 below).
Deferral Postings
If an deferrals code is stored in a line, the deferral postings are posted automatically according to the deferral template. A posting is created for each period. If these postings have to be corrected/reversed and posted again, many entries are created on a G/L account depending on the number of periods posted and it often becomes very confusing. In the G/L entries of the preview posting, the resulting deferral postings can be checked in advance.
