Accountant License

Dynamics 365 Business Central External Accountant is a free special license in Business Central for your external accountant or tax advisor. This allows them to access your company’s financial data without needing an additional paid user license. What are the requirements, and how do you set up this collaboration in Business Central?


Allow your External Accountant to access your Financial Data in Real Time

Every business is required to document its transactions and maintain proper accounting records. Some companies handle this task in-house, while others hire an external accounting.

If you work with a third-party accountant, the Business Central External Accountant license allows them to access your financial data in real time. This includes, for example, sales, expense, and inventory data. With the functionality included in your standard license, you can grant access rights to your external accounting and thus collaborate efficiently with them on your business data.

Business Central External Accountant: Requirements and Permissions

If you have an Essentials or Premium license for Business Central, you can invite up to three External Accountant users per customer tenant. That doesn’t incur any additional costs.

With the External Accountant license, your accountant generally has the same rights as a “normal” user (“standard” license). Which features can actually be used depends on whether you are using the Essentials or Premium version and which permissions have been specifically assigned to the external user. The only thing they cannot access is user setup and administration.

How to invite your External Accountant to collaborate with you in Business Central

Using a user with the Global Administrator or User Administrator role, you can invite a user from your external accountant to collaborate in Business Central. You can obtain the required role in the Microsoft 365 Admin Center.

You can then invite the external accountant directly through Business Central. To do this, open the Users page and select the Invite external accountant action.

A message will then appear that you must read and accept.

Next, you must fill in the required fields marked with an * with the user’s contact information.

When you complete the process, a success message will appear, and the user from your external accounting will receive an email with a URL that they can use to sign in with their Microsoft account.

Note: The invitation email can only be sent if the user has a work address based on Microsoft Entra ID. Additionally, SMTP must be configured in Business Central for the email to be sent.
