Device License

Licensing - the one that suits you

The device license is not tied to a specific person. Instead, one device can be used by different users per device license. The access is then limited to those application areas in Business Central in which the device is used (i.e. does not apply to the entire system).

The license can be advantageous for your company, for example, if there is shift work or picking with barcodes and scanners. Other examples are a computer in the warehouse that is shared by different employees or a screen that is used for presentations.

Device License: Areas of Application

According to the Licensing Guide (as of May 2024), there are the following areas of application of the device license for Business Central:

Point of Sale

A device at the business site or in a retail store where employees perform customer-facing sales or service transactions.

Site Management

A device at the business site that is used for any of the following tasks that only occur at that location:

• Managing and replenishing inventory
• Cash register closing and processing of incoming invoices
• Configuration of menu options on third party devices
• Purchasing office supplies and services to maintain business operations
• Staff management at the business site
• Report generation for business site performance analysis
• Management of master data related to the business site

Production and Workshops

• Time tracking for employees
• Start and end of production activities
• Progress reporting
• Consumption and completion of materials
• Viewing documents and instructions for production activities
• Vacation tracking for employees

Warehouse

• Incoming goods
• Storage
• Internal stock transfers
• Picking and packing
• Determination of article attributes
• Deliveries and stocktaking
• Posting material output and consumption, provided these are recorded as stock transfers between warehouse and production

Dynamics 365 Business Central Device License: Requirements and Implementation in Practice

The effective permissions can be controlled for all users assigned to a device license via the permission sets.

💡 Note: there must be at least one Essentials license or a Premium license in the tenant so that you can use device licenses!

In addition, a security group called “Dynamics 365 Business Central Device Users” must be created in the Microsoft 365 Admin Center. All users who are to work via a device license must then be assigned to this security group.
